About the Role

The Marketing Events Coordinator is responsible for independently managing and executing a high volume of company events, trade shows, ribbon cuttings, lunch-and-learns, customer events, and other marketing initiatives. This is a fast-paced, hands-on role that requires strong project ownership, proactive execution, and the ability to manage multiple priorities simultaneously.

The ideal candidate is highly organized, self-directed, and comfortable taking ownership of projects from initial planning through execution and follow-up. This person will independently manage event timelines, logistics, vendors, materials, inventory, and transportation while anticipating needs, resolving issues, and ensuring deadlines are met with minimal day-to-day oversight.

This role requires someone who takes initiative, identifies what needs to be done, and drives projects forward without waiting for direction. The position combines event management, logistics, inventory ownership, and marketing and sales support, with work spanning the office, warehouse, event venues, customer locations, and field environments.

Key Responsibilities

Event Planning & Execution

  • Independently manage a high volume of company events, trade shows, conferences, ribbon cuttings, lunch-and-learns, customer events, and other marketing initiatives from planning through execution and follow-up.

  • Own event logistics, including schedules, registrations, vendors, materials, equipment, transportation, budgets where applicable, and deadlines.

  • Develop and maintain event timelines, calendars, and project plans to keep multiple initiatives moving forward simultaneously.

  • Proactively coordinate with event organizers, venues, vendors, customers, sales representatives, and internal teams to ensure all requirements are met.

  • Take ownership of event preparation, setup, execution, and breakdown, ensuring materials, displays, signage, samples, and equipment are ready and professionally presented.

  • Anticipate logistical challenges, resolve issues independently, and adjust plans as needed to keep events on track.

  • Travel as needed to execute events and ensure successful on-site operations.

Marketing Inventory & Sales Materials

  • Own the organization, tracking, and replenishment of marketing materials, promotional items, giveaways, swag, event supplies, and product samples.

  • Proactively monitor inventory levels, anticipate upcoming needs, and initiate replenishment before shortages affect events or sales activities.

  • Manage the preparation and distribution of samples, promotional materials, and swag for sales representatives and upcoming events.

  • Establish and maintain organized systems to ensure materials and equipment are accounted for, returned, and ready for future use.

Logistics & Field Operations

  • Independently coordinate the movement of marketing materials, product samples, displays, and equipment between the office, warehouse, customer locations, and event venues.

  • Take hands-on responsibility for loading, unloading, organizing, transporting, and setting up materials and equipment as needed.

  • Manage competing logistical priorities across multiple events and projects, ensuring resources and materials arrive where they are needed on time.

  • Identify and resolve logistical problems proactively, using sound judgment to keep projects moving.

  • Maintain the organization, functionality, and readiness of event equipment and marketing materials.

Marketing & Sales Initiatives

  • Drive the execution of customer-facing events, lunch-and-learns, and other sales and marketing initiatives.

  • Proactively identify upcoming event requirements, communicate needs, and coordinate execution with the appropriate teams.

  • Ensure consistent, professional company representation across events and customer interactions.

  • Track outstanding tasks and follow through on commitments to ensure projects are completed on time and to the expected standard.

What You Bring

  • 2+ years of experience in marketing, event management, project coordination, logistics, or a related role.

  • Demonstrated ability to independently manage projects from planning through execution, with minimal day-to-day supervision.

  • Experience managing multiple projects, deadlines, and competing priorities in a fast-paced environment.

  • Strong project management and organizational skills, with the ability to maintain visibility into numerous active projects and anticipate upcoming needs.

  • A proactive, self-directed approach: you take initiative, identify next steps, solve problems, and follow through without waiting to be told what to do.

  • Strong judgment and resourcefulness, with the ability to make decisions, adapt to changing circumstances, and resolve issues independently.

  • Excellent written and verbal communication skills and the ability to coordinate effectively with vendors, customers, sales teams, and internal departments.

  • Strong attention to detail and accountability for the quality and completion of your work.
